Position Title: Travel Desk Specialist

Reports to: Head HR

Division: Administration
Job Location: Ludhiana, Punjab
Experience: 3 to 4 Years
CTC: 4 to 4.5 LPA


Job Purpose:

The Travel Desk Specialist is responsible for managing all aspects of corporate travel, ensuring smooth and cost-effective travel arrangements for employees. This role involves coordinating logistics, maintaining vendor relationships, and ensuring compliance with travel policies while optimizing costs and efficiency.


Key Responsibilities:

Travel Arrangements & Coordination:

  1. Handle all travel bookings, including flights, trains, hotels, and local transport.

  2. Manage end-to-end travel plans across India efficiently and cost-effectively.

  3. Maintain real-time communication with traveling employees to update them on logistics.

  4. Ensure all necessary travel approvals are in place before bookings.

  5. Assist new joiners in understanding the company's travel process.

  6. Ensure timely submission of post-tour reports to the Managing Director’s office.

Vendor Management & Cost Optimization:

  1. Negotiate with travel vendors to secure the best rates for every trip.

  2. Maintain strong relationships with existing vendors and ensure timely completion of paperwork.

  3. Identify and develop new vendor partnerships to enhance service options.

  4. Evaluate the need for changing vendors based on service quality and cost-effectiveness.

  5. Ensure the organization consistently receives the best market prices for travel services.

Compliance & Policy Adherence:

  1. Ensure all compliance requirements are met before employees travel.

  2. Prevent any travel disruptions due to non-compliance with policies.

Process Improvement & Budget Control:

  1. Reduce the travel budget compared to the previous year through strategic cost management.

  2. Enhance turnaround time (TAT) for travel-related processes.

  3. Implement major cost-saving initiatives without compromising travel quality.


Job Specifications & Requirements:

  • Education: Bachelor's degree in any relevant field.

  • Experience: Proven experience in a similar role, preferably in a corporate environment.

  • Skills:

    • Strong organizational skills with attention to detail and accuracy.

    • Excellent communication and interpersonal abilities.

    • Proficiency in travel booking systems and Microsoft Office Suite.

    • Ability to multitask, prioritize tasks, and work efficiently under pressure.

    • Knowledge of travel regulations, visa requirements, and international travel protocols (preferred).
