Job Overview:
As an Import-Export Documentation Filing Specialist with our Customs House Agent (CHA) company, you will play a vital role in facilitating the efficient movement of goods across international borders. You will be responsible for managing and maintaining all documentation related to import and export activities, ensuring compliance with customs regulations and other applicable laws.
Key Responsibilities:
Documentation Management:
- Prepare and maintain accurate import and export documentation, including commercial invoices, bills of lading, shipping manifests, packing lists, and certificates of origin.
- Verify the completeness and accuracy of all documentation to ensure compliance with customs and trade regulations.
Customs Compliance:
- Liaise with customs authorities and government agencies to ensure all import and export declarations are submitted accurately and on time.
- Stay up-to-date with changes in customs regulations and tariff schedules and implement necessary changes in documentation practices.
Record Keeping:
- Maintain organized and easily accessible records of all import and export documentation, both in physical and digital formats.
- Ensure the safe storage and retention of records in accordance with legal requirements.
Communication and Coordination:
- Collaborate with various stakeholders, including shippers, carriers, customs officials, and internal teams to resolve documentation-related issues.
- Communicate effectively with clients to provide updates on the status of shipments and resolve any documentation discrepancies.
Quality Control:
- Conduct regular audits of documentation processes to identify errors or inefficiencies and implement corrective measures.
- Ensure compliance with CHA company's quality standards and customer requirements.
Continuous Improvement:
- Identify opportunities to streamline documentation processes, reduce costs, and enhance efficiency.
- Participate in training and development programs to stay updated on industry best practices and regulatory changes.
Qualifications:
- Bachelor's degree in international trade, logistics, or a related field (preferred).
- Previous experience in import-export documentation filing or customs clearance is a plus.
- Knowledge of customs regulations, import-export laws, and international trade practices.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Proficiency in relevant computer applications and documentation software.
- Ability to work under pressure and meet tight deadlines.
