Position Description:

Grade / Level: M-4/M-5

Division / Department: Administration

1. JOB PURPOSE:

The Deputy Head Administration oversees and manages the entire administration of the refinery and the associated township. This includes transportation, housekeeping, food and canteen management, travel management, and other related issues, contributing significantly to the smooth functioning of the organization.

2. ORGANIZATIONAL CHART: (Please complete using only generic and descriptive job titles)

3. PRINCIPAL ACCOUNTABILITIES:

Administration for refinery:

  • Monitor and manage the administration of the refinery, including transportation, housekeeping, and canteen management.
  • Oversee Phase-3 colony extension activities and ensure timely completion.
  • Identify areas for process improvement and drive initiatives to enhance organizational effectiveness.

Township administration:

  • Supervise township administration, ensuring quality housing, canteen facilities, transportation, and cultural events for employees.
  • Support beautification efforts within the colony.

Training and development:

  • Ensure skill development among subordinates and coordinate with HR for training programs.

Safety and housekeeping:

  • Uphold workplace safety standards and oversee housekeeping activities.

4. MAJOR CHALLENGES:

  • Creating a conducive environment for employees in both the plant and township amidst dynamic conditions.
  • Optimizing vehicular movement during festivals and events.

5. DIMENSIONS:

  • Financial Dimensions: Annual budget of 8-9 crores.
  • Other Dimensions: Supervision of a team of 6 people.

6. SKILLS AND KNOWLEDGE:

Educational Qualifications and Experience:

  • Graduation in any stream, preferably with a PGDM/MBA and 12-16 years of experience.

Functional Skills:

  • Proficiency in administration management.
  • Effective communication and coordination abilities.
  • Cross-functional collaboration skills.
