Role Objectives:
- Responsible for overall administrative management of the entire plant and its compound including Canteen, Transport, security and other Facilities.
- Ensure cost-effective and efficient operations of services, Vehicles, Guest houses, employee accommodations, and assets for a safe environment for employees and customers.
- Provide advice to senior management and collaborate with them to create short- and long-term business plans, including operational, organization, and financial aspects with respect to administrative roles and responsibilities.
Key Tasks and Responsibilities:
A. Security:
- Secure perimeter and responsible for movement of authorized men & materials inside and outside of premises.
- Identify potential threats, Internal or external, for smooth functioning and suggest remedial measures.
- Strengthen existing security systems & build a good network of intelligence. Provide support to the management during times of crisis by providing security cover.
- Monitor and control various acts of thefts, malpractices, sexual misconduct of theft.
- Control organized violation of company policies like sleeping at the workplace, round-robin absenteeism for Overtime
- Ensure deputation of firefighters round the clock at different locations of the premises.
- Monitor CCTV on a real-time basis to remain updated on unwanted situations and people.
- Analysis of incidents and providing support to law enforcing agencies.
B. Contract Workers:
- Ensure hygiene in day-to-day activities such as working conditions, safety, and security, shift timings, Gate entry, and exits
C. Transportation:
- Effective/ Efficient management of the taxi/bus services ferrying employees and workmen between locations and to facilitate movement to various places.
- Responsible for maintenance of Company-owned vehicles cost-effectively.
- Travel management of Senior management
D. Public Relations:
- Build good rapport with the authorities in and around the Plant Liaison with Police authorities, Zilla Parishad, Gram Panchayat and other local bodies. Sr. Divisional Officers, Factory Inspectors.
E. Guest Relations:
- Responsible for the reception, logistics of visiting dignitaries, officials, and guests to the plant & their hospitality, coordinate VIP Visits, logistics from airport to plant, plan & execute the itinerary, stay arrangements for visiting delegates etc
F. Communication Systems:
- Monitor, maintain & control the existing telecommunication network viz. telephones / EPABX system & mobile phones, residential telephones mobile phone towers. Also monitor / control the mail distribution system, couriers.
G. Estate Management:
- Managing & maintaining company property, guest house, maintenance of the flats, electricity, availability of water, security etc besides maintaining cleanliness & hygiene.
- Area drainage upkeep during heaving rainfall to avoid water logging.
- Routine recharge of groundwater from rainfall.
- Prediction and management of groundwater requirement, aquifer.
- Monitoring of water wastages and usage
- Monitoring of electrical, water and other utilities for residential colonies.
H. Landscaping:
- Maintaining a well-landscaped outdoors. Be responsible for horticulture, maintenance and upkeep of the garden/factory compound/ golf course area, ornamental / floral shrubs, trees etc.
I. Administrative Costs:
- Identify cost incurring areas and implement cost-saving initiatives.
J. Administrative Process:
- To streamline the process within the administration function with respect to risk assessment, fraud prevention, crisis management and security audit.
- Any other job as assigned by the management
Minimum qualifications required:
- Work Experience: A minimum of 15-20 years, Senior level experience in armed forces will be preferred.
- Exposure: Military /Industrial Goods/Glassware/Automotive/Engineering/Process Industry
- Basic Educational qualifications: MBA -General Management, Graduate with Defense background as a gazette officer with minimum experience of 15 years.
